Administrative Coordinator, Mongolia

The Administrative Coordinator will support administrative functions, including contract compliance and coordination, and office administration.

Orbis has been working in Mongolia since 1989. Orbis Mongolia works closely with the Ministry of Health, tertiary and secondary level public hospitals in Ulaanbaatar and Aimags.

REPORTING & WORKING RELATIONSHIPS

The Administrative Coordinator reports to the Country Director and works closely with the program and finance teams in Mongolia, and visitors from other Orbis offices and the Flying Eye Hospital.

ESSENTIAL JOB FUNCTIONS / KEY AREAS OF RESPONSIBILITY

  • Support compliance with Orbis policies and procedures, donor standards, local laws, globally accepted standard, and best practices in NGO operations
  • Follow legal requirements of Orbis and contractual partnerships and agreements
  • Ensure that MOU, contracts, leases, and other legal documents are up to date and in compliance
  • Coordinates procurement implementations efficiently
  • Lead on day to day office administration
  • Coordinate logistics for local and international travel of Mongolia office staff and Volunteer Faculty
  • Facilitate and organize logistics for staff visits from other Orbis offices
  • Review and suggest improvements to organizational policies, procedures, and management systems as needed
  • Perform other duties as assigned


QUALIFICATIONS & EXPERIENCE

  • Authorization to work in Mongolia
  • At least 2 years working experience in related field
  • Prior experience working with contracts or other legal documents
  • Working experience in development sector, especially NGOs and community groups preferred
  • Experience with organizing international travel preferred


SKILLS & ABILITIES

  • Comprehensive professional working knowledge of spoken and written Mongolian and English
  • Demonstrates high level of attention to detail and organizational skills
  • Ability to work in a team environment without direct formal hierarchy
  • Ability to prioritize and effectively time manage
  • Proactive and solution-focused with the ability to adapt when needed
  • Proficiency in Microsoft Office, especially Word, Excel, and PowerPoint
  • Personal qualities of integrity, credibility, and commitment to Orbis’s mission.
