JOB SUMMARY:

As a member of the U.S. Development Department, the Donor Development Coordinator supports donor cultivation and stewardship activities and provides administrative and logistical support to the whole Development team. This role is unique as it supports the whole development team and provides experience in a wide range of areas including major giving, corporate relations, and direct marketing.

This is a central position that requires strong organizational skills, attention to details and the ability to manage a variety of projects in a fast-paced environment.

REPORTING & WORKING RELATIONSHIPS:

The Donor Development Coordinator reports to the Chief Development Officer; their work will be overseen by and will receive day to day mentorship from the Associate, Donor Development. They will also provide support to the US Development team, while liaising with colleagues cross departmentally in NY and other Orbis offices, as needed.

ESSENTIAL JOB FUNCTIONS / KEY AREAS OF RESPONSIBILITY:

Donor Cultivation and Stewardship

  • Serve as an ambassador to donors, including responding to emails and calls, sending cards and welcome materials, and other tasks as needed.
  • Build compelling email messages in MailChimp.
  • Assist with maintaining donor records in the Raiser’s Edge donor database by entering, updating and correcting donor contacts, meeting notes, actions, and solicitations.
  • Transcribe video/audio content.
  • Contribute to the production of digital content through scheduling, compiling notes, archiving images, pulling assets, and proofreading.
  • Prepare donor information packets, decks, and other materials as requested, and assist with preparing proposals.
  • Maintain and update contact lists and calendars.
  • Support board and committee relations by maintaining contact lists and documentation, and by preparing reports and other materials.

Administrative and Logistical Support

  • Process expense reports and monthly credit card reconciliations.
  • Arrange and track vendors’ payments.
  • Process orders for supplies and materials.
  • Assist with scheduling team travel and meetings.
  • Maintain and update the team SharePoint site.
  • Participate and provide logistical support for special projects and events as requested.
  • Undertake and provide administrative support for any additional tasks as needed.

QUALIFICATIONS & EXPERIENCE:

  • Bachelor’s degree is preferred.
  • Minimum 1 year of experience, including cumulative internship experience, in a professional environment in an administrative capacity.
  • Prior experience in a fundraising environment and familiarity with fundraising activities highly desirable.
  • Previous experience with Raisers Edge a plus.

  • Ability to work accurately in a fast paced, highly detailed work environment.
  • Strong problem solver.
  • Computer literacy in all MS Office applications as well as Internet research.
  • Ability to work effectively in a culturally and professionally diverse team as well as independently.
